Create a quote and get it accepted online

A quote in Naffes CRM starts from the deal and its products and reaches the customer as a link to a public page in Arabic or English, where they accept or decline. Acceptance creates a draft invoice and updates the deal, while marking the deal won stays your call.

Before you start

  • Quotes are available on every plan, including Free.
  • The deal needs a linked contact, otherwise you see “No customer on this deal yet”. If no linked contact has an email address, the quote is marked sent without an email and the customer link is copied so you can share it yourself, over WhatsApp for example.
  • If you run several brands, choose the one that should appear on the quote, its email and its PDF.

Create and send the quote

  1. Start from the deal

Open the deal and use its Quote tab, or go to Sales → Quotes, click New quote and pick the deal. To turn the deal's products into lines, click Pull the deal's products.

  2. Edit the lines

Each line has a quantity, unit price, discount % and tax %. Add lines from the product catalogue or type them, then set Valid until.

  3. Send or save

Click Save & send to email the customer a link to the public quote page, or Save draft to finish later. Quotes can also be downloaded as PDF or duplicated for a similar offer.

  4. Wait for the customer's decision

The customer opens the page in Arabic (right to left) or English, can switch between them, and accepts or declines. Track the status on the Quotes list: draft, sent, accepted, declined or expired.

  5. Mark the deal won

On acceptance, the deal shows “The customer accepted quote …” and asks you to mark it won so it counts in sales and the forecast.

What happens automatically

How a quote affects the deal and invoicing
EventWhat Naffes does
First sendThe open deal moves forward to its pipeline's quote stage, never backwards if it is already past it, and the last-contact date updates
Customer acceptsA draft customer invoice is created, and the quote lines replace the deal's products, updating the amount
Valid-until date passesA daily job marks the quote expired, and it can no longer be accepted

The draft invoice waits for review and issue, after which you can collect and record payments. More on the online quotes feature page.

Troubleshooting

  • “Add a title and at least one priced line”: a quote needs a title and one priced line before saving.
  • The customer cannot accept: the quote has expired or was already accepted or declined. Duplicate it with a new date and send again.
  • The customer wants to sign: quotes have no e-signature; acceptance is a button on the public page. Handle a signed contract outside the quote.

Questions

Questions 2

Does accepting a quote change the deal amount?

Yes. The accepted quote's lines replace the deal's products, and the amount is recalculated from them.

Can customers accept quotes from the customer portal?

Yes, but only after a win: a won deal becomes a project in the customer portal, where the customer can accept or decline later quotes, such as an add-on or an expansion.
