Feature
AI in Naffes CRM
Naffes CRM puts AI where your team already works: a chat assistant called Naffes Smart that queries your live CRM data in Arabic or English, deal summaries and next best actions, and transcription of voice notes and calls. Nothing the assistant proposes on a deal happens until you confirm it.
Useful CRM AI is grounded, permission-aware and confirmed
Reps spend a large share of the day on work that does not sell: piecing together what was last said to a customer, writing an update for the manager, moving stages, typing in a new contact, replaying a two-minute voice note to understand a request. AI earns its place on exactly that work, provided it reads the real CRM data, respects who may see what, and never changes records behind your back.
Naffes is built around those three conditions. Its prompts instruct the model to use only the CRM data it is given and not to invent names, dates or amounts. The assistant's read tools apply the same role-based visibility as the rest of the app, so a rep limited to their own deals cannot read a colleague's deals through chat. Edits to deals and tasks go through a confirmation card. Chat replies follow the language of your message, and summaries and insights are written in your interface language.
Naffes Smart: ask your CRM in plain language
Click AI Assistant in the top bar to open the panel. Type a question, tap a suggestion such as My brief for today, or dictate with the microphone button in browsers that support speech recognition. The assistant knows which deal, contact, company or task you are viewing, so asking about 'this deal' is enough. Replies come with record cards you can open and follow-up suggestion chips, and each user's conversation history is kept.
- Daily briefing: your tasks due today or overdue, deals closing in the next 7 days and the top at-risk deals.
- Risk list: open deals at risk, each with its reason (close date passed, closing within 7 days, or no open follow-up task).
- Pipeline funnel: open deals by stage with count, value and weighted value.
- Team reports: who was active, one employee's performance over a date range, and what they did on a given day. Admins see everyone; other users see only themselves.
- Record creation: a full task with a 3-7 step checklist, a complete lead from just an email address (contact, company from the domain, and a linked deal), or a single contact or company.
- Your mailbox: search your own synced email by subject.
Ask for the change
With a deal open, ask Naffes Smart to move it to another stage, mark it won or lost (a loss needs a reason), change the close date, log a note or complete a task.
Review the card
A confirmation card lists exactly what will change.
Confirm or cancel
Click Confirm within 30 minutes to apply it. Your permission to edit the record is checked again at that moment.
Summaries, next best actions and copilots on records
| Where | What you get |
|---|---|
| Deal AI panel | A summary in an executive, rep or technical tone with a headline, short paragraphs, positive and risk points and a suggested next action with urgency. Stored for 7 days and regenerated on demand. |
| Deal risk panel | Up to 3 next best actions, each with a rationale, urgency and estimated impact, refreshable with a button. |
| Deal drawer copilot | Six actions: summarize, draft an outreach email, suggest the next step, risk analysis (3 risks and 3 mitigations), discount advice, and ask anything. Copy or regenerate the result. |
| Contact and company pages | 2 to 4 short insights tagged opportunity, risk, info or action, cached for an hour. If the AI returns nothing usable, rule-based insights appear and are labeled as such. |
| Contacts and Companies lists | Select up to 50 records to summarize (2-3 sentences each), score (0-100 with a one-line rationale) or enrich with estimated profile details. |
Voice, conversations and triage
Voice notes customers send on WhatsApp are transcribed automatically, and the text becomes searchable in the inbox, appears on the timeline and can be read by the bot. When an admin turns on call recording, a call transcript can be requested with one click or produced automatically. Inside a customer conversation, the copilot button offers up to three ready-to-send replies.
For incoming WhatsApp conversations, triage today is done by the bot; bots run on WhatsApp only. Free-text messages the scripted flow cannot match are answered by AI using the bot's persona and greeting, and built-in guards hand the thread to a person when the customer asks for a human, when messages make no sense, or when the conversation starts looping. In workflows, an AI classification step picks one label from a list you define, returns a confidence score and can save the label to a field, and an AI summary step can write its output into a field; a failed AI call is retried and logged, and the rest of the workflow continues.
AI email triage (category, priority, sentiment, intent) and smart email replies exist on the server but have no screen, and their feature flag is off by default. They are not available to users today.
Smaller AI helpers
- Import mapping: spreadsheet columns that keyword matching misses are sent to AI with sample rows; if AI is unavailable, the keyword mapping simply stays.
- Task breakdown: AI splits a large task into suggested subtasks, each with a priority and estimated hours.
- Form filling from chat: a consultation or intake form can be filled from the contact's own messages. Each answer cites its source message, unsupported answers are dropped, and nothing is saved until the rep reviews it.
- AI Visibility (AEO): track how the Perplexity answer engine mentions your brand against competitors when asked buyer-style questions, with mention rate, average rank, sentiment and a daily trend.
Models, keys and plans
Core AI features, including Naffes Smart, summaries, insights, bulk actions and transcription, run through a single platform AI gateway that connects to OpenAI-compatible models; the platform operator chooses the model, and voice-note transcription uses OpenAI Whisper. A workspace can also connect its own OpenAI or Anthropic API key in the Marketplace. That key is used first for the deal copilot, the AI next-step suggestion, task breakdown and document form-fill.
Naffes Smart requires the Pro or Enterprise plan and is unlocked during the 14-day trial once the workspace owner verifies their email. On Free and Starter, the assistant button leads to billing instead. Availability of the other AI features varies, so check pricing before you rely on a specific one.
What Naffes AI does not do
- The assistant cannot send emails or WhatsApp messages, delete records or edit arbitrary fields. Its changes are limited to stage, won or lost, close date, notes and task completion, all with confirmation.
- Deal summaries, next best actions and the deal copilot do not read the deal's emails, calls, notes or WhatsApp history. They work from deal fields: name, stage, amount, dates and health.
- Email search in chat covers only your own mailbox and matches on subject.
- Enrichment is an estimate from the model's general knowledge, not verified third-party data. Bulk results are not saved to records, jobs are capped at 50 records, and the Deals list has no bulk AI bar.
- Forecasts and lead assignment are rule-based, not AI-driven.
- There is no machine translation of content, emails or messages.
- Your own OpenAI or Anthropic key does not power Naffes Smart, summaries, insights, bulk AI, workflow AI steps or transcription, and there is no Google Gemini or Azure OpenAI option for the core features.
- Chat dictation relies on the browser's speech recognition and is hidden where the browser does not support it.
- AI Visibility scans Perplexity only, not ChatGPT or Gemini.
- Transcribed voice notes are not marked as machine-generated in the inbox, so check the transcript before acting on anything important.
Questions
Questions 5
Can the AI assistant change my data without my approval?
No. Every change it proposes to a deal or task appears on a confirmation card and runs only if you click Confirm within 30 minutes, after your edit permission is checked again. It can create tasks, contacts, companies and leads directly when you ask.
Does it work in Arabic?
Yes. Naffes Smart replies in the language of your message, with Arabic as the default, and summaries and insights follow your interface language. Dictation supports Arabic in browsers with speech recognition, and WhatsApp voice notes are transcribed automatically.
Does the deal summary read our emails and calls?
No. Deal summaries and next best actions use the deal's own fields such as stage, amount, dates and health. The more complete the deal record, the more useful the summary.
Can we use our own OpenAI or Anthropic key?
Yes, from the Marketplace. Your key is used first for the deal copilot, AI next-step suggestion, task breakdown and document form-fill. Naffes Smart chat, summaries and transcription keep using the platform AI gateway.
Is Naffes Smart included on the Free plan?
No. It needs Pro or Enterprise, and you can try it during the 14-day free trial, with no card required, once your email is verified.
