Deals and sales pipelines in Naffes CRM

Naffes CRM gives you a working sales pipeline on day one, lets you add more with stage names in Arabic and English, and then watches every deal: when it stalls, how healthy it is, who sits on the buying committee and what still has to happen after the win.

A pipeline you can forecast from

A pipeline is only useful if its numbers can be trusted. Every week a sales manager needs to know how much is open, how much is likely to close this month and which deals have stopped moving. That depends on discipline in the data: deals that carry an amount and a customer, losses that carry a reason, and stages with an expected duration so delay can be measured.

Each new Naffes workspace starts with a ready Sales Pipeline of five stages (Qualified, Contact Made, Proposal, Negotiation, Won), each with a win probability, a typical-days budget and a color. It also gets five default loss reasons: Price, Timing, Went with competitor, No budget and Lack of expertise. You can sell from it immediately and reshape it as your process becomes clearer.

Set up pipelines and stages

  1. Open pipeline management

On Deals, open the pipeline switcher and choose Manage all pipelines. Only admins can do this.

  2. Create one pipeline per sales motion

For example new business, renewals and tenders. Mark one pipeline as primary: when a rep calls or messages a contact who has no open deal, the deal Naffes opens for it lands in the first stage of that pipeline.

  3. Define each stage

Give it a name in your language (the other language is optional, and each user sees their own), a win probability that feeds the weighted value, and an optional typical-days budget used for stuck-deal detection. Reorder stages with the up and down arrows.

  4. Choose who sees it

Make the pipeline visible to everyone, to selected teams or to selected users.

Pipeline counts follow the plan: 1 on Free, 3 on Starter, 10 on Pro and no cap on Enterprise. See pricing for the full comparison.

Work the deals list your way

  • Six views: Table, Kanban (when a single pipeline is selected; drag a card to change its stage), Forecast, Timeline, Gantt and Calendar.
  • Forecast view: buckets deals by close month, quarter, pipeline or owner; each bucket shows its total and weighted amounts, how it splits between won, open and lost, and its biggest deals.
  • Built-in and saved views: All, Open, Won and Unclaimed come ready; views you save sync to the server and follow you across devices.
  • Scope and quick filters: switch between Mine, Team and All, then narrow to Hot, At risk, Closing this week or Stuck.
  • Metrics rail: the open pipeline and its weighted total, revenue won so far this month, win rate next to the average cycle length in days, money tied up in at-risk deals, and a count of stuck ones. Click either of the last two to filter the list down to those deals.

Inside a deal

The deal page brings the whole relationship together, with tabs for activity, notes, tasks, emails, calls, WhatsApp and SMS messages, the quote, files, products, contacts, companies, meetings, documents, tickets and the customer portal. A deal can link several contacts and several companies, with one of each marked primary. Once product lines are added, the amount is calculated from them rather than typed.

Deal-level insight in Naffes
ToolWhat it tells you
Health score (0-100)Weighted from recent activity (30%), stakeholder coverage (20%), stage velocity (20%), engagement trend (15%) and data completeness (15%). Deals are labeled hot (70+), warm (50+), cold (30+) or stalled, with a trend line from the last 30 daily snapshots.
Buying-committee mapTag each person as champion, decision maker, economic buyer, technical, procurement, user or blocker. A coverage line flags which of the three key roles is missing.
AI summaryOn demand, in an executive, rep or technical tone, with a suggested next best action, its urgency and a due date.
Conversation-driven stagesA rep's reply moves the deal to contacted, a bot qualification to qualified and, when the pipeline has that stage, a booked meeting to consultation. Moves go forward only, on open deals only.

Guardrails that keep the numbers clean

A deal can be marked Won only when its amount is above zero and it is linked to at least one contact or company. The rule is enforced everywhere a deal can be won: the Won button, bulk actions, the API, workflow actions and the AI assistant. Marking a deal Lost asks for a loss reason by default; admins can make the reason optional or restrict reps to the predefined list.

Open deals that stay in a stage longer than its typical days are flagged Watch at 1x the budget, Stuck at 2x and Frozen at 3x, and admins can change those multiples. A stage without typical days is never flagged. Role permissions decide whether each user sees all deals, their team's deals or only their own. All of this lives under Settings, Records & Fields, Modules, Deals.

From quote to renewal

  1. Build the quote

Create it from the deal and it starts with the deal's products. Adjust quantity, unit price, discount % and tax % line by line, set how long the offer stays valid, then export a PDF or copy the quote as the starting point for the next one.

  2. Send it

The customer receives an email linking to a public page in Arabic or English. On the first send, the deal moves forward to its quote stage; a deal already past that stage never moves back.

  3. Get the answer online

The customer accepts or declines on the page. Acceptance creates a draft invoice, replaces the deal's products with the quote lines and prompts the rep to mark the deal Won.

  4. Close out and renew

The win dialog lists what the sale still needs: invoice status, the subscription that will renew and delivery tasks. Recurring lines create a customer subscription with its ARR, and a pre-filled renewal deal opens 60 days ahead by default (30, 90 or 120 are also available), tracked on the Renewals page.

Forecast categories and quotas (Pro)

Naffes gives each deal a forecast category on its own: a won deal is Closed Won, a lost one is Omitted, and an open deal takes its category from where its stage sits in the stage list, with Commit for the final quarter, Best Case for the middle and Pipeline for the first quarter. Admins can override a deal's category with a reason or return it to automatic. On the Forecast page, the team quota sits next to the Closed Won, Commit, Best Case and Pipeline totals for a month, a quarter or a year, and each rep gets a card ranked by how much of their own quota they have reached.

Limits worth knowing

  • One currency per workspace: there is no multi-currency support or exchange rate on deals, forecasts or reports.
  • Stage colors cannot be edited in the stage editor.
  • Every new workspace gets the same default pipeline; industry-specific starter pipelines are not offered at sign-up.
  • The forecast is rule- and stage-based. No machine-learning win probability is shown, and what-if scenarios and forecast snapshots are API-only.
  • The engagement-trend factor in the deal health score currently uses a fixed value rather than measured engagement.
  • Quotes have no e-signature: the customer clicks a button to accept, and the deal stays open until a rep marks it Won.
  • Forecasting is not included in Free or Starter, only admins can override categories, and Closed Won cannot be set by hand.

Questions

Questions 4

Can we run separate pipelines for different teams or products?

Yes. Each pipeline has its own stages, win probabilities and visibility (everyone, selected teams or selected users). The number of pipelines depends on the plan: 1 on Free, 3 on Starter, 10 on Pro and unlimited on Enterprise.

Why won't Naffes let me mark a deal as won?

A won deal needs an amount above zero and at least one linked contact or company. Add the amount or product lines, link the customer and try again. The same check applies to bulk actions, workflows, the API and the AI assistant.

Does accepting a quote close the deal automatically?

No. Acceptance creates a draft invoice and updates the deal's products and amount, then the deal page prompts the rep to mark it Won. Marking it Won then runs the usual check: an amount above zero and a linked contact or company.

Do deals support multiple currencies?

No. Each workspace uses one display currency, chosen by an admin in Region & formats, and deals, forecasts and reports are all counted in it.
