Quotes in Naffes CRM: from deal products to an accepted price

Naffes CRM builds each quote from the deal it belongs to, emails the customer a link to an Arabic or English quote page with Accept and Decline buttons, and turns an accepted quote into a draft invoice without retyping a single line.

Why quotes belong inside the CRM

Writing a quote is rarely the hard part. The trouble starts after it leaves: a file sent from someone's personal mailbox, three versions with three prices, nobody sure which one the customer agreed to, and finance keying the same lines into an invoice by hand. In Naffes a quote is tied to its deal from the first line. The lines come from the deal's products, the quote's status is visible to the whole team, and the customer's decision is recorded on the deal itself.

Sales managers get one list of every quote that went out, which ones were accepted and which expired. And because a deal with products takes its amount from those products rather than a typed figure, the number in your pipeline matches what the customer actually said yes to, not the estimate a rep jotted down after the first call.

How a quote works in Naffes CRM

Every quote starts from a deal. Open the Quote tab on the deal, or go to Sales, then Quotes, and create a new quote; Naffes asks which deal it is for, then picks up that deal's customer and products.

  1. Start from the deal

The deal's products are copied into the quote as lines, so you never begin from a blank sheet or forget an item you discussed.

  2. Edit lines and set validity

Each line has a quantity, unit price, discount % and tax %, and the quote has a valid-until date. Download it as a PDF, or duplicate it to prepare an alternative at a different price.

  3. Send it

The customer receives an email with a link to a public quote page in Arabic (right to left) or English, and can switch between the two. The first send moves an open deal forward to its pipeline's quote or proposal stage and updates the last-contact date.

  4. The customer decides

Accept and Decline sit on the same page. On acceptance, a draft customer invoice is created and the quote's lines replace the deal's products, so the deal amount is recalculated.

  5. Close the deal

The deal page then prompts you to mark the deal Won. That call stays with the rep: Naffes never marks a deal won on its own.

Note

Naffes finds the quote stage by its Arabic or English name, such as Proposal, which is the third stage of the default pipeline every new workspace gets. A deal already past that stage is never moved backwards when another quote goes out.

A worked example: how lines add up

An IT services firm in Riyadh quotes 20 user licences at SAR 450 each with a 10% discount, plus one setup service at SAR 5,000 with no discount, and the rep enters 15% tax on both lines. Tax is charged on each line after its discount:

A two-line quote (amounts in SAR)
LineQty × priceDiscountTax 15%Line total
User licences20 × 450 = 9,0009001,2159,315
Setup service1 × 5,000 = 5,00007505,750
Whole quoteSubtotal 14,0009001,96515,065

If the customer accepts, those exact lines become the deal's products and a draft invoice carrying them appears under Invoices, ready to review and issue. If a line is a recurring product, such as an annual subscription, winning the deal creates a customer subscription, and a renewal deal opens ahead of the renewal date (60 days ahead by default).

  • One list for everything: the Quotes page shows number, title, customer, deal, status, total, valid-until date and the linked invoice, with a status filter.
  • Your brand on every copy: the email, the PDF and the public page carry the brand's name, logo and colour. Companies trading under several names can define several brands.
  • Free-form proposals when you need them: for a technical proposal or a contract, the Documents module builds documents from templates in a rich editor, records every time the link is opened, keeps versions and reports an acceptance rate. Documents start on the Starter plan.
  • Automation around quotes: quote sent, accepted and declined are workflow triggers, so an acceptance can, for example, create a delivery task for your operations team. See automation.
  • From invoice to payment: issue and email the resulting invoice from Invoices and record payments against it. Connect your own Tap account and customers can pay with Pay now on the invoice page.
  • A second opinion on discounts: the AI copilot in the deal drawer has a discount-advice action a rep can run before changing percentages. It works from the deal's own fields, such as stage, amount, close date and linked contact names, and does not read emails or notes, so treat it as advice rather than a pricing rule.

Limits to know before you rely on it

  • There is no e-signature on quotes. The customer accepts with a button on the public page. If your contracts need a binding signature, keep that step in your usual process.
  • Acceptance does not mark the deal Won by itself, and winning requires an amount above zero and at least one linked contact or company.
  • An expired or already-decided quote cannot be accepted again. Duplicate it, update the valid-until date and send the new copy.
  • If Naffes cannot find an email address for the customer, the quote is still marked Sent and you are told nothing was emailed, so check the contact's email before sending.
  • Each workspace runs in one currency with no exchange rates, so every quote is issued in the workspace currency.
  • Outgoing webhooks cover contact, company and deal events only, not quotes. Use workflows to react to quote events.
  • Quotes and customer invoices work on every plan, Free included. Documents and workflows start on Starter. Compare plans on the pricing page.

Questions

Questions 4

Does the customer need an account to accept a quote?

No. The emailed link opens the quote page without a login, and the customer accepts or declines right there. Customers with a project in your customer portal can also decide on quotes from inside the portal.

Can each line have its own discount and tax?

Yes. Every line has its own discount % and tax %. Tax is calculated on the line after its discount, and the quote shows the subtotal, total discount, total tax and the final amount.

What happens to invoicing after acceptance?

A customer invoice is created as a draft with the quote's lines. Review it, issue and email it from Invoices, and record full or partial payments, each with a printable receipt.

Are quotes available on the Free plan?

Yes. Quotes are part of the Free plan alongside deals, contacts and companies, and so is customer invoicing. The 14-day trial, with no card required, unlocks every feature, including Documents and workflows.
