Calendar and booking in Naffes CRM: meetings without the back-and-forth

Naffes CRM gives you a public booking page where customers pick their own slot, and puts your meetings and your Google or Outlook events in one calendar. Each booking creates the contact and the meeting and sends the invite, link and reminders for you.

What the calendar is for

Booking a meeting by message usually takes several rounds: propose a time, hear it does not work, propose another, then forget to send the link. Interest cools while that happens. Naffes turns the exchange into one link and ties the resulting meeting to the customer's record and deal, instead of leaving it in a personal calendar nobody else sees.

Meetings also move the pipeline. When a customer books from a conversation, their open deal advances to the consultation stage on its own, so the board reflects reality without a manual update. Calendar is pinned in the sidebar next to Dashboard and Inbox, because it is part of the working day rather than a side screen.

How booking pages work

  1. Enable your page

Open Activities > Booking page (/booking-page) and switch your page on.

  2. Set the rules

Choose the meeting length, the location (an in-app video room, which needs Agora keys, or Google Meet) and your weekly availability.

  3. Share the link

Put the public link, /book/{slug}, in your email signature, a WhatsApp reply or your website.

  4. Let Naffes finish the job

Each booking finds or creates the contact, schedules the meeting and emails an invite with an .ics file, plus a WhatsApp confirmation when enabled, with cancel and reschedule links.

The .ics file follows iCalendar, the standard format calendar applications use to exchange events, so the customer can add the meeting whatever calendar they use. By default, reminders go out 24 hours, 1 hour and a quarter of an hour before the start, by WhatsApp, email and in-app notice, and any window or channel can be switched off under Settings > Meetings. That helps reduce no-shows without anyone chasing.

On WhatsApp, the bot can book during the chat itself, creating a real meeting hosted by the rep who owns the conversation. If that rep has a booking page, the bot sends its link so the customer picks the slot.

Two-way sync with Google and Outlook

Each user connects a Google or Microsoft 365 account under Settings > My connections > Connected Accounts; one consent covers mail and calendar together. Naffes meetings are then pushed to that calendar and kept up to date, and external events are pulled back every quarter of an hour into the same calendar view. You see the whole day in one place, from customer meetings to the internal appointments already in your personal calendar. The Google Workspace and Microsoft 365 integration pages list the permissions involved.

  • Each connected account has a calendar-sync switch and a Sync now button for an immediate pull.
  • Mirrored external events are read-only and visible only to their owner, so personal details stay private.
  • When a user connects both Google and Microsoft, Google is preferred for pushing meetings.

Day-to-day details

  • Views: month, week, day and agenda, switched with M, W, D and A; T jumps to today and the arrow keys move back and forward, mirrored in Arabic.
  • Weekend: Friday and Saturday in the Arabic interface, Saturday and Sunday in English.
  • Time zones: times show in each user's own profile time zone, which matters for teams split across cities or countries.
  • On phones: month, day and agenda views on small screens, with Naffes installed from the browser as a web app.
  • Meetings: recurrence, conflict warnings and multi-channel reminders.
  • Deals: the deals list itself can switch to a calendar view alongside table and kanban.

Limits and what to expect

  • Meetings and calendar sync need the Starter plan or higher. See pricing.
  • There is no Zoom integration; links come from Google Meet, Microsoft Teams or the built-in rooms.
  • Built-in rooms need your workspace's own Agora App ID and App Certificate, entered in Settings > Meetings > Video meetings.
  • Picking a specific calendar to sync, when an account has several, is not available in the interface yet.
  • If a Google Meet link cannot be created for a booking, Naffes falls back to an in-app room when one is set up; otherwise the meeting is booked without a link and the host adds one later.
  • The WhatsApp bot books nothing on an unassigned conversation, and it allows overlapping meetings, so keep your booking-page availability accurate.
  • Free-form WhatsApp invites arrive only inside the 24-hour window; outside it, an approved template is needed.
