Microsoft 365 and Naffes CRM: Outlook, calendar and Teams

Naffes CRM connects to Microsoft 365 through Microsoft Graph: it syncs personal and shared Outlook mailboxes, keeps meetings in the Outlook calendar, creates Microsoft Teams links and can send system email from your own domain.

Built for companies that run on Microsoft 365

Where IT manages Outlook and Teams centrally, a CRM has to work within the tenant's policies rather than around them. In Naffes, each employee connects their own account through Microsoft's consent screen, admins add the shared mailboxes, and the workspace owner can send system email through a mailbox the company owns in Microsoft 365.

  • Outlook mail in Naffes. Synced through Microsoft Graph every few minutes, sent from the user's own mailbox, schedulable, and available from any deal, contact or company page. See email in Naffes.
  • Two-way Outlook calendar. Naffes meetings appear in Outlook, and Outlook events appear in the Naffes calendar.
  • Microsoft Teams links. Choose Teams when scheduling, and Naffes asks Microsoft to create a Teams meeting on the same event.
  • Shared and support mailboxes. Admins connect team mailboxes, and a support mailbox can turn incoming mail into tickets.
  • Workspace Mail. Automatic email from your workspace leaves from a Microsoft 365 mailbox your company owns, so recipients see your own address.
  • Continue with Microsoft. Log in or sign up with a Microsoft identity.

How to connect

  1. Check your tenant's consent policy

If your organization stops users from consenting to apps, a Microsoft Entra admin approves the Naffes request once, and employees can then connect.

  2. Connect Microsoft

Go to Settings > Personal > My connections > Connected Accounts, click Connect Microsoft and approve the mail and calendar permissions.

  3. Add the Outlook mailbox

In Mail Accounts, add the mailbox with the Outlook type, finish the Microsoft sign-in window, then decide how much history the first sync fetches, from none up to six months.

  4. Add shared mailboxes

When connecting a team mailbox, an admin ticks Shared team inbox. To turn a support mailbox into a ticket inbox, click Set as support on that mailbox in the list.

  5. Set Workspace Mail (owner only)

Under Settings > Integrations > Channels > Workspace Mail, set Mailer to Microsoft 365 mailbox, pick the sending account under Microsoft Graph account, save, then send a test email.

For a Teams link, open Meetings, create a meeting, set Where to External link or address, pick Microsoft Teams under Video link and save. The Teams meeting is created on your Outlook event and its link goes into the invitations. The calendar connection guide walks through each step and the common fixes.

Permissions and data flow

The account connection asks for Mail.ReadWrite, Mail.Send, MailboxSettings.ReadWrite, Calendars.ReadWrite and offline_access. Sign-in asks only for openid, email, profile and User.Read, which gives no mailbox access. This is the list your Entra admin reviews before granting consent.

Limits IT should know

  • Teams links need a Teams-licensed work account. A personal outlook.com account, or a mailbox without a Teams licence, returns no link. Naffes warns you instead of quietly swapping in a room the guest did not expect.
  • New meetings go to one calendar. If someone connects both a Google and a Microsoft account, their new meetings are added to Google Calendar, even though events from both calendars are pulled into Naffes. In mixed teams, have each person connect only the calendar they work in; see the Google Workspace integration.
  • No Zoom. Conference links come from Teams or Google Meet only.
  • Plans. Email and meetings start at Starter; mail-to-ticket needs Pro. See pricing.
  • Workspace Mail is owner-controlled. Members can view the settings, but only the owner can change or test them, and the sending Microsoft account must already be connected.

Questions

Questions 4

Our tenant blocks user consent. What now?

A Microsoft Entra admin approves the Naffes request once, or enables the admin consent workflow so employees can request it. After that, each employee connects under Connected Accounts.

Why did my meeting get no Teams link?

Usually the connected account is personal or has no Teams licence, so Microsoft returns no link and Naffes shows a warning after you save. Connect the licensed work account, or use Google Meet if a Google account is connected. If the Teams option is missing altogether, no Microsoft account is connected yet.

Can we connect a shared mailbox such as sales@?

Yes. An admin connects it with Shared team inbox ticked. Only users with the shared-inbox permission see it, and stars stay personal to each user.

Can the workspace's automatic email come from our own domain?

Yes. When the owner sets Workspace Mail to a Microsoft 365 mailbox or to your own SMTP server, system email leaves from your address.
