Google Workspace and Naffes CRM: Gmail, Calendar, Meet and sign-in

Each rep connects their Google account once. From then on, Naffes CRM files their Gmail on the right customer records, keeps meetings in step between Naffes and Google Calendar, and creates a Google Meet link whenever a meeting is scheduled.

What the Google integration covers

Most sales conversations still start in an inbox and end in a calendar. The Google integration keeps both tied to the customer record, so a manager opening a deal sees the last email thread and the next meeting without asking the rep.

It is four separate pieces, and you can use any of them on its own:

  • Gmail inside Naffes. Your mailbox appears in the mail screen, where you read, reply, forward and schedule sends, with open and click tracking on every message you send. See email in Naffes.
  • Two-way Google Calendar. Meetings created in Naffes land on your Google Calendar, and your Google events show up in the Naffes calendar next to them.
  • Google Meet links. Pick Google Meet when scheduling and the link is created from your account and stored on the meeting before invitations go out.
  • Continue with Google. Log in or start a new workspace with your Google identity.

A typical day: a prospect replies to a proposal in Gmail. The thread is filed on the contact, the company and its open deal. The rep answers from the deal page, books a demo with Google Meet as the conference, and the invite with the link goes out while the event appears on the rep's Google Calendar.

Setting it up

  1. Open Connected Accounts

Go to Settings > Personal > My connections > Connected Accounts and click Connect Google. Each user does this for themselves; no admin rights are needed.

  2. Approve mail and calendar access

Google shows one consent screen covering Gmail and Calendar. Approve it and you return to Naffes with the account listed.

  3. Add the Gmail mailbox

In Mail Accounts, in the same section, click Connect Account and set Account Type to Gmail. Under Sync emails from, choose now or 1, 3 or 6 months back, and optionally tick the option that creates a contact record for senders you don't have yet. Admins also see a Shared team inbox option for mailboxes the whole team works from.

  4. Check calendar sync

Leave the calendar-sync switch on for the account. Use Sync now when you want Google events pulled in immediately.

  5. Create a Meet link

Open Meetings, create a meeting, set Where to External link or address, pick Google Meet under Video link and save. The link is created on your calendar event and added to the invitations. The Google Meet option only appears once a Google account is connected.

Note

Email and meetings are included from the Starter plan, and every feature is unlocked during the 14-day free trial, with no card required. See pricing, and the calendar connection guide for step-by-step help and fixes.

What syncs, and in which direction

Data flow between Google and Naffes CRM
DataDirectionTiming and detail
Incoming and sent Gmail messagesGoogle to NaffesScheduled sync, every 3 minutes by default
Read state, archive and deleteNaffes to GmailApplied on the server; delete moves the message to Trash, because the gmail.modify scope cannot delete permanently
Mail sent from NaffesNaffes through GmailLeaves from your own mailbox, with an open pixel and click-tracked links
Naffes meetingsNaffes to Google CalendarAdded on create and updated on every edit
Google Calendar eventsGoogle to NaffesPulled every quarter hour, or on demand with Sync now
Google Meet linkCreated in Google, stored in NaffesSaved before invites are sent, so the .ics file and optional WhatsApp invite carry it
Sign-in identityGoogle to NaffesEmail and name only, through openid, email and profile

Every synced message is filed on each contact whose address matches, each company whose email or domain matches, and those records' open deals. A mailbox can also create contacts and companies from the people it emails with, skipping free-mail domains and automated senders.

Who sees what

Personal mailboxes stay personal: each user connects their own account. Shared mailboxes are visible only to users with the shared-inbox permission, and stars on shared mail are kept per user. OAuth tokens are stored encrypted with AES-256; more on the security page.

Limits to know before you rely on it

  • No Google Drive sync. Drive appears in the Marketplace, but Naffes stores only a folder ID and does not attach or sync files.
  • No Zoom links. On the Google side the conference link is Google Meet; Naffes does not create Zoom links. Outlook users get Teams links through the Microsoft 365 integration.
  • Calendar pulls are periodic. An event added in Google Calendar shows up in Naffes within a quarter hour, sooner if you press Sync now.
  • Matching, not AI. Emails are linked to records by address and domain. Won or lost deals are not auto-linked, but any thread can be linked by hand.
  • The Free plan has no email or meetings. It covers deals, contacts, companies, tasks, notes, conversations and quotes; email and meetings start at Starter.

Questions

Questions 4

Does Continue with Google give Naffes access to my inbox?

No. Sign-in asks only for your identity, matches an existing user by verified email and still asks for your 2FA code if you use one. Mailbox and calendar access happen only when you connect the account under Connected Accounts.

If I delete an email in Naffes, is it gone from Gmail for good?

No. The delete is applied in Gmail by moving the message to Trash, where you can still restore it.

Can booking pages use Google Meet?

Yes. Set Google Meet as the location on your booking page. Each booking then finds or creates the contact, schedules the meeting and sends an invite with the link.

Does every rep need to connect their own account?

Yes, because mail and calendars belong to individuals. An admin can add shared mailboxes, such as a general sales inbox, for the team.
