Video meetings that live on the deal, from booking to outcome

Naffes CRM runs client video meetings in a room inside the product, with recording and a live transcript in Arabic and English, or through auto-created Google Meet and Microsoft Teams links if you prefer. Every meeting stays tied to its contact and deal, from invite and reminder to the outcome logged on the deal.

Why meetings belong in the CRM

A typical sales meeting touches five tools: a scheduling link, a calendar invite, a video platform, the rep's notebook and, if someone remembers, a line in the CRM. A month later the manager cannot say how many demos actually happened, let alone what the customer asked for.

Naffes keeps the whole cycle in one place. The customer books, gets the invite and the reminders, joins from a browser link, the conversation can be recorded and transcribed, and the rep logs the outcome on the way out. The meeting then sits on the deal's Meetings tab next to its messages, tasks and quote.

Four ways a meeting gets on the calendar

Booking pages and calendar sync have their own page, Calendar. For the meeting itself, three things matter. A booking page can put the customer in a Naffes room, generate a Google Meet link, or use a fixed room link of yours, a phone number or an office address. Whichever way a meeting was created, its join link travels with it into the email invite, the reminders and the WhatsApp message. And Naffes flags a new meeting that clashes with one already on the host's calendar.

Inside the meeting room

The room runs in the browser. External guests join from the invite link without an account. They land on a Ready to join? screen to check camera, microphone and speaker, then wait in the waiting room until the host admits or denies them. Hosts can switch the waiting room off so anyone with the link walks straight in.

  • Camera, microphone and screen sharing, with grid or speaker view and the option to pin anyone to the big tile.
  • Raise hand and reactions, plus an in-room chat that disappears when the meeting ends.
  • A Notes panel saved to the meeting record as you type: what was agreed, objections, the next step.
  • Host controls: mute everyone, mute one participant, or remove someone from the room.
  • Send the link on WhatsApp straight into the customer's thread.
  • Picture in picture, and a small dock that keeps the meeting running while you go back to the CRM.
  • Keyboard shortcuts: M for mic, V for camera, S to share, H to raise a hand, C for chat and P for people.

Recording and live transcript

Meetings held in the Naffes room can be recorded, with a live transcript in Arabic and English that runs while people talk. Reps can focus on the customer instead of typing every word. Managers can go back to what was actually said when a deal stalls. New hires can learn from the meetings that closed.

  • Consultations: clinics and advisory firms can return to exactly how the client described the problem.
  • Technical demos: the transcript catches the questions the buyer asked, so the written proposal answers them.
  • Mixed-language calls: when one side speaks Arabic and the other English, both are captured.
Note

Good practice: tell participants the meeting is being recorded before you start, especially guests from outside your company.

After the call: the outcome lands on the deal

When you leave, Naffes asks How did it go? and the rep picks Held, No-show or Rescheduled, with a note on what was agreed and the next step. The outcome is saved on the meeting, and the meeting shows on the deal page's Meetings tab.

A meeting booked from a conversation moves the open deal to the consultation stage automatically. The home dashboard lists upcoming meetings next to the pipeline numbers, so each rep starts the day knowing who they are seeing.

Limits and what to expect

  • The Naffes room runs on Agora: an admin creates an Agora project and pastes its App ID and App Certificate under Settings > Meetings > Video meetings. Until then, meetings use Google Meet or Teams links.
  • Naffes does not generate Zoom links; the room, Google Meet and Microsoft Teams are the built-in options.
  • A Teams link is created only for a work Microsoft 365 mailbox that has a Teams licence.
  • A room closes an hour after the meeting's scheduled end.
  • You are in one meeting at a time: opening a second room asks you to return to the first or leave it.
  • In-room chat is not kept; anything that matters goes in the Notes panel.
  • Meetings start on the Starter plan; see pricing for plan details.

Questions

Questions 4

Does the customer need an account or an app?

No. They open the invite link in a browser, check their camera and mic, and wait for the host to let them in if the waiting room is on.

Can we use Zoom instead?

Naffes does not create Zoom links. You can use the Naffes room or have Naffes create a Google Meet or Microsoft Teams link from your connected account.

Are meetings recorded?

Meetings in the Naffes room can be recorded, with a live Arabic and English transcript. Meetings on Meet or Teams follow those services' own recording settings.

How is this different from a Majlis call?

A meeting is scheduled with customers or guests, tied to a contact and deal, and has invites, reminders and an outcome. A Majlis call is a quick internal call between teammates, started from a chat, and it is not recorded.
