Mark a deal as won or lost in Naffes CRM
Closing a deal in Naffes CRM is more than a status change. A win requires the data that makes revenue real, and a loss asks for a reason you can analyse. This guide covers the steps, what happens after each outcome, and why the system may refuse a win.
Steps
Open the deal
Open the deal page from Deals (
/deals/followed by the deal's id).To win: click Won
A dialog shows what the sale still needs: the invoice status, the contract that will renew if the deal has recurring lines, and the delivery tasks. Review it, then confirm.
To lose: click Lost
Pick a Lost reason from the list, or type your own if your admin allows it, then confirm. A reason is required by default.
You can also close by dragging the card to the Won or Lost column on the Kanban board; the same rules apply.
The two conditions for a win
A deal can be marked Won only when its amount is above zero and it is linked to at least one contact or company. The rule applies to the Won button, the bulk action, API updates, workflow actions and the AI assistant, so there is no side door around it.
| Message | Fix |
|---|---|
| A deal cannot be marked as won without an amount greater than zero | Enter the amount. If the deal has product lines, the amount is calculated from them and cannot be typed, so edit the products |
| A deal cannot be marked as won without at least one contact or company associated | Link a contact or company from the deal's contacts or companies tab |
What happens after a win
- The after-win card: the won deal's page shows where the invoice, the renewing contract and the delivery tasks stand, with Create invoice and Add a task buttons right there. The card creates nothing by itself: invoices are written in the invoice editor and tasks on the Tasks tab.
- Lifecycle: linked contacts move to Customer automatically, and reopening the deal restores their previous stage.
- Subscription and renewal: recurring product lines create a customer subscription, and a renewal deal opens automatically ahead of the renewal date.
- Forecast: the deal's forecast category becomes Closed Won; forecasting itself is a Pro feature.
Loss reasons
Five reasons come ready in every workspace, Price and Timing among them, and a lost deal is classed as Omitted in the forecast. Admins can edit the list, make the reason optional, or limit reps to predefined reasons, as described in configure deal alerts and loss reasons.
Tip: keep reasons few and specific. Five clear reasons produce better analysis than twenty overlapping ones or free text that cannot be grouped.
Questions
Questions 2
Does an accepted quote mark the deal won automatically?
No. After the customer accepts, the deal page prompts you to mark it Won; the decision stays with you.
Can I reopen a closed deal?
Yes. Reopening a won deal returns its linked contacts to their previous lifecycle stage and cancels the subscription that win created.
