Sales Quota

A sales quota is the target set for a rep or a team over a period. A good quota stretches people but can be reached, and it is built from real pipeline numbers rather than budget wishes.

What is a sales quota?

A sales quota is a numeric target assigned to a salesperson or a team for a set period: a month, a quarter or a year. Performance is measured against it, and commissions are usually tied to it. Quotas are most often set in revenue, but they can also be set in units sold, in activities such as meetings and demos, or in gross margin. Quota attainment is what was actually achieved divided by the quota. A quota is not a forecast: the quota is what management asks for, the forecast is what is expected to happen. A well-balanced quota is met by most of the team, not by a few stars.

Example: a capacity-based quota

Instead of dividing the company target by headcount, some teams build quotas from the bottom up. An illustrative case for an accounting-software company:

  • Average deal value: SAR 40,000.
  • The rep's historical win rate: 30%.
  • New opportunities the rep can work in a quarter: 25.

Quarterly capacity = 25 x 30% x 40,000 = SAR 300,000. If management wants 360,000 per rep, the 60,000 gap will not be closed by enthusiasm; it needs more opportunities, a better win rate or larger deals. A rep who closes 255,000 against a 300,000 quota is at 85% attainment.

New hires usually get a reduced quota for their first months, since they need time to build a pipeline of their own.

In Naffes CRM

Quotas live on the Naffes CRM Forecast page, in the Insights section of the sidebar, on the Pro and Enterprise plans:

  1. Pick the period: This month, This quarter or This year.
  2. An admin clicks Set quotas and enters a quota amount for each rep.
  3. The team card shows the quota next to Closed Won, Commit, Best Case and Pipeline.
  4. Below it, one card per rep, sorted by quota attainment.

Only admins set quotas, and each quota is an amount in the workspace currency. On Free and Starter, the screen shows a card explaining the feature with Upgrade and Compare plans buttons. See sales forecast and forecasting and quotas.

How to tell whether quotas are fair

  • Look at the spread of attainment across the team, not just the average. If one rep is at 180% and everyone else is under 60%, the problem is territory design or the quotas themselves.
  • Compare each quota with the pipeline that rep actually has; a quota the pipeline cannot cover is meaningless. Weighted pipeline helps here.
  • Fix the counting rules in advance: does a deal count at signature or at payment, and how are renewals treated?

Questions

Questions 2

Should quotas be set in revenue or in number of deals?

Revenue is the most common because it is what the business ultimately needs, but some teams add an activity quota for new reps, such as qualified meetings, to measure effort before results show. In Naffes, a quota is entered as an amount per rep per period.

What if most of the team misses quota?

Review the quotas before judging the people: were they built on real capacity and enough pipeline? If they were, find the stage where deals leak most and fix it with coaching or better lead sources.
