Lead management from source to handoff

Define a usable lead

A lead is more than a spreadsheet row. Capture enquiry source, time, preferred contact method and expressed need. Set a usability condition, such as a reachable person with an understandable request. Separate incomplete records from rejected ones so missing information can be recovered.

When a person arrives through an advertisement and later through WhatsApp, do not automatically count two leads. Compare email, phone and context before merging, retaining both source events. Incorrect identity handling distorts volume, conversion and campaign evaluation.

Make handoff observable

Define who reviews the queue and when a representative accepts ownership. Include the request summary, latest message and agreed deadline in the handoff, rather than sending only a new-lead alert. Define what happens when the owner is unavailable or misses the deadline.

For example, an enquiry about implementation within a month arrives in the morning. Assign it to the relevant team and schedule a dated call. An incomplete call should surface in a review queue instead of disappearing beneath newer enquiries.

Measure leakage at each step

Review usable leads without owners, assigned leads without follow-up and followed-up leads that become qualified opportunities. Group by arrival period to avoid comparing this week’s enquiries with deals closed from older cohorts.

Review a small sample of lost records each week. The cause may be a poor source, an unnecessary required field or an unclear handoff. Correcting a specific failure is more useful than asking the team to make more calls without locating the bottleneck.
