WhatsApp and CRM: context and ownership

Attach the conversation to the right record

Identify the contact behind a conversation and the relevant deal, if any. A person may discuss multiple requests or share a number with colleagues. Check context before attaching every message to one opportunity, retaining the channel and reason for contact.

Make ownership visible and define transfers between shifts or specialists. The receiving colleague should see the latest request, commitment and next action so the customer does not have to repeat the full history.

Separate templates from everyday replies

Check your WhatsApp provider’s current sending rules before campaigns, and confirm that the template and purpose match the customer’s permission. Technical ability to send does not establish permission to send any content to any number. Record and honor requests to stop follow-up.

Test templates with sample data, checking variables, language and destination links. A request number in the name field or an incorrect link can reach an entire audience if no rendered sample is reviewed. Distinguish request acceptance from delivery and customer response.

Turn messages into explicit work

When a representative promises a proposal or later call, create a dated next action with an owner. Do not rely on an unread message as a personal reminder: reading status is not a task queue. Close conversations with an outcome distinguishing resolution from pending work.

Review Naffes WhatsApp CRM and inbox resources for the supported connections. Evaluate clear handoffs, time to a useful response and follow-up completion rather than sent-message volume alone. More messages do not necessarily create a better experience.
