CRM permissions and everyday data protection

Test roles against real scenarios

Document what each role needs to view, edit and export. Giving everyone administrator access to simplify setup can hide boundaries that require testing. Use separate representative, manager and administrator accounts and check both normal navigation and direct links.

Test records owned by the user, their team and another group. Include attachments, reports and exports: protecting a list is insufficient if details remain reachable elsewhere. Record expected and observed behavior for each scenario.

Protect the access lifecycle

Give new colleagues the access their role requires. When they change roles or leave, review sessions, tokens, ownership and assigned work, not just login status. Shared accounts make it harder to attribute edits and exports.

Keep integration credentials in appropriate server settings rather than support tickets or screenshots. Assign ownership for rotation, replacement testing and revocation. Log important changes without copying secrets or unnecessary customer data into diagnostics.

Verify recovery and operating responsibilities

A backup needs a restore test rather than only a successful-job notification. Define covered data, recovery windows and who may request restoration. Test in an isolated environment to avoid replacing live records during verification.

Review Naffes security information and the agreed operating scope, particularly for self-hosting. Request explicit responsibilities and hosting details when needed instead of inferring them from the website language. These operational checks complement your organization’s specialist review and requirements.
