Five mistakes that derail CRM adoption

Start with process and data

The first mistake is moving spreadsheets before agreeing how work happens. Define who creates a contact, owns a deal and closes a task. If teams answer differently, test a shared process on a sample before adding fields and reports.

The second mistake is importing without inspection. Check duplicates, number formats and column meanings, retaining source identifiers. Ask a user to inspect imported examples: successful upload does not prove that ownership, dates or deal values reached the correct fields.

Train tasks and measure behavior

The third mistake is teaching button names instead of work. Give a representative a sample enquiry to record and follow up, then observe where they struggle. A short task-specific guide is often more useful than a long presentation nobody revisits.

The fourth mistake is measuring logins alone. Someone may sign in daily while managing deals elsewhere. Inspect next-action completeness, current close dates and recorded call outcomes, using the measures to diagnose needs rather than punish people who report problems.

Own the work after launch

The fifth mistake is treating launch day as completion. Assign an owner for field, permission and reporting changes. Gather feedback in one place and prioritize it by operational impact instead of immediately adding every requested field.

Review after a suitable operating period or sales cycle. Compare actual examples before and after implementation, asking which steps disappeared and which increased. If data entry became harder without a clear benefit, revise the process before expanding it.
