Activity Timeline
An activity timeline is the running, time-ordered history of everything that happened with a customer or a deal, so whoever opens the record next can pick up exactly where the last person stopped.
What is an activity timeline?
An activity timeline is a chronological feed attached to each CRM record (a contact, a company or a deal) that lists every interaction and change in the order it happened: emails sent and received, calls and their outcomes, meetings, chat messages, internal notes and stage moves, each stamped with who did it and when. Its purpose is to let the record answer 'where do we stand with this customer?' by itself, without relying on one rep's memory or on a thread stored on someone's personal phone. Metrics such as last-contact date, touches before close and gaps between replies are all read from it.
It is not the same as an audit log. The timeline serves the people talking to the customer; the audit log serves administrators who need to know who changed which data.
What belongs on a useful timeline
| Entry | How it gets there | Why it matters |
|---|---|---|
| Emails | Synced automatically from the connected mailbox | Written commitments, prices and attachments |
| Calls | Logged when placed from the record, or by hand with an outcome | What was agreed verbally |
| WhatsApp and SMS | Captured from the shared inbox | For many Gulf buyers, the main channel |
| Notes | Typed by the rep, with @mentions | Context that never appears in a message |
| Stage and status changes | Recorded on every move | How fast the deal moves and where it stalls |
Illustrative example: a key account at a logistics company changes hands mid-quarter. Reading the timeline, the new owner sees two proposals (the second priced below the first), a call in which the buyer asked for 60-day payment terms, and a note that the operations director has to sign off. His first call references all three. Without the timeline he would have re-asked questions the customer had already answered.
In Naffes CRM
A Naffes CRM deal opens on its Activity tab, a single chronological feed, with separate tabs beside it for notes, tasks, emails, calls, WhatsApp and SMS messages, the quote, files, meetings and tickets. The deal's Insights panel adds an activity heatmap and a Stage history view that shows when the deal entered each stage and how long it stayed there.
- Email files itself. Every synced message, inbound or outbound, lands on the timeline of the matching contact, the company matched by address or domain, and those records' open deals.
- Calls log themselves when placed from a record. A rep can also log a call by hand with its direction, duration, custom outcome and notes.
- Voice notes become text. WhatsApp voice notes from customers are transcribed automatically, so their content can be read on the timeline and found through inbox search.
- Notes pull teammates in. Typing @ in a note picks a colleague, who is notified, and important notes can be pinned.
- Changes are part of the story. Contacts, companies and deals each keep a change history that anyone allowed to view the record can see.
Limits: emails are matched to records by address and domain, not by AI, and they are not linked automatically to deals that are already won or lost. A contact's lifecycle-stage history is stored but not yet shown on any screen. The on-screen audit log does not list each field's old and new values either; those appear only in the CSV export admins can download.
Keeping a timeline useful, not noisy
- Automate capture wherever you can. Anything that depends on a rep remembering to log it will be skipped in a busy week.
- After a call that matters, write two lines: what was agreed, and what happens next and by when.
- Move customer chats off personal phones and onto a channel connected to the CRM, or the most important part of the story never reaches the record.
- Read the timeline before a customer meeting, not only after it.
A complete history also makes the next move obvious; see next best action, and use it to spot who is involved in the decision with a buying committee map.
Questions
Questions 2
Is an activity timeline the same as an audit log?
No. The timeline is written for the people working the account and shows conversations, notes and stage moves. The audit log is a control tool for administrators that shows who created, edited or deleted a record and when. In Naffes, the audit log is an admin-only screen, and even exporting it leaves an entry in the log.
Do WhatsApp conversations appear on the deal?
Yes, as long as they run through the company's own number connected to Naffes through its Twilio account. The thread shows in the deal's messages tab and reps can reply without leaving the deal or contact page, using a template or attaching a file.
